What an outreach list is
Your outreach team is the short list of coaches at one school you actually want to email. Per school, not per email — you pick once, and every future message, follow-up, and reply lives inside that team.
- Most athletes target 3–6 coaches per school (position coach, coordinator, head coach, recruiting coordinator).
- You can build teams at 10–20 schools and run them in parallel.
- Reordering and adding coaches later is fine — the team is a living list.
Set your profile first
Coach fit scores depend on a few profile fields. Spend two minutes here before opening the school list — every score gets sharper.
- Position — drives the "exact / group / side" match.
- Height & weight — compared against the program's roster averages.
- State — coaches who recruit your region rank higher.
- Class year — matches against the program's graduating seniors.
Edit these in Editor → You. No values yet? You'll still see the list, but matches will be more generic.
Find a school
Open Recruiting and search for the program. Filter by division (D1 / D2 / D3 / NAIA / JUCO), conference, or state. Tap a school to open its page.
The school page has two tabs you care about: Overview (roster averages, graduating seniors, depth by position) and Coaches (the staff list with fit scores). Start in Coaches.
Read the fit score
Every coach gets a 0–100 fit score, then a one-word label:
- Great fit — 80+. Position match, recruits your region, program has need.
- Good fit — 60–79. Solid alignment.
- OK fit — 40–59. Worth a shot.
- Stretch — under 40. Reach school or unrelated role.
The score blends role (HC / coordinator / position coach), position match, height/weight vs. roster averages, depth at your position, graduating seniors, and whether the coach is an active recruiter.
Pick the right coaches
The coach list is pre-sorted, best fits at the top. A practical recipe:
- Tap the position coach first (e.g. WR coach if you're a wide receiver).
- Add the coordinator for your side of the ball.
- Add the recruiting coordinator if listed — they triage inbox volume.
- Add the head coach last. They get the most mail; lead with the staff who'll actually open it.
Each tap turns the row green and increments the counter at the bottom. The picker stays open — keep scrolling and tapping. Search by name if you already know who you want.
Fix missing contact info
We surface two warnings inline on each coach card:
- No email on file — you can still add them, but the email step will skip them. Tap Contacts to submit one.
- Missing X handle — flags automatically when you add a coach. Affects the "Follow on X" step, not email.
When a coach is flagged, admins see it on the Coach Issues dashboard and enrich it within ~24 hours. You don't need to do anything else.
Save your team
When you're done picking, the sticky bar at the bottom shows "N coaches picked" and a Write emails button. Tap it and two things happen:
- Your team is saved (you can leave and come back any time at Recruiting).
- You advance to Step 2 — AI drafts a personalized email per coach.
Need to change the list later? Re-open the school, toggle coaches on/off, and the team updates immediately — no need to start over.
Write emails next
Your team is locked in. Next up: turn the list into a batch of warm, personalized intro emails — without writing each one from scratch.
